DRAFT: to be reviewed by a lawyer before public launch.

Privacy Policy

Last updated 5 November 2026

Yellajob is still being built. This policy covers our waitlist and Yellajob accounts. We'll update it, and tell you, before new features that use your information go live.

Who we are

Yellajob is a voice-only job platform for Australian small businesses and the people who want to work for them. Contact us at yellajobaustralia@gmail.com.

We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

How your voice is handled

We ask for your consent before you record anything. Then, every time you record:

  1. We only record after you tap the record button, until you tap stop (you'll see a timer and a red stop button).
  2. You can listen back on your own phone and re-record before anything is sent.
  3. The recording is uploaded to private, encrypted storage in Australia (Sydney).
  4. It's sent to our AI provider, Groq, in the United States, to turn your speech into text. The text is then used (also by Groq) to pick out your details, check it's safe to share, and tidy obvious mishearings and “um”s. Groq doesn't keep it (we use its zero data retention setting) and doesn't use it to train AI.
  5. As soon as it's written down, we delete the audio. If writing it down fails, the audio is kept only so you can try again, and is deleted within a day either way.
  6. You check the details and tap ✓. Only the text is kept and shared, never your voice.

Fair hiring: no ranking, no voice judging

  • We never score, rank or sort applicants. Businesses see applicants in the order they applied.
  • Businesses never hear applicants' voices, so they can't judge accent, age, gender or way of speaking.
  • Our AI only picks out what you actually said (like your suburb or licences). It's told never to record or guess things like age, gender, background, health or family, and never to judge how someone speaks.
  • The “how they fit this job” list only shows which of the job's stated needs you mentioned. It doesn't decide anything: the business does.

What we collect

  • Waitlist: your email and, if you choose, whether you're looking for work or hiring.
  • Account: your email, whether you're a job seeker or a business, and the dates you confirmed you're 18 or over, accepted our Terms and agreed to recording.
  • Age check: we use your date of birth to check you're 18 or over, then throw it away. We only keep a note that you confirmed it.
  • Voice recordings (once recording is switched on): your recordings, their transcripts, and details we pick up from them, like your name, area, the work you want, skills and availability.
  • Businesses: business name, contact name, area and ABN.
  • Location: only if you tap "Use my location".
  • Feedback: if you choose to rate your experience, your rating, the quick options you tap and any comment you say. Spoken comments are turned into text and the audio is deleted straight away. We use feedback only to improve Yellajob.
  • Reports: if you report a job, applicant or interview, the reason you tap and any comment you say (kept as text). Reports are private: we don't tell the other person who made them. If you delete your account, your reports are kept without your name, to keep people safe.
  • Job outcomes: when a business closes a job, whether it was filled and, if they say so, which applicant got it (that applicant sees “You got the job!”).
  • Basic technical data: like login times, so the service works and stays secure.

Why we collect it

To run Yellajob: to create your account, connect job seekers with businesses, check businesses are real, keep people safe and let you know about the launch. We will never sell your information.

Who sees your recordings

Nobody else ever hears your voice. You speak, we write it down, and once you've confirmed your details we delete the audio. Only the text is kept and shared. This protects your voice from being copied or misused (for example voice cloning), and keeps hiring fair.

The text of job seekers' intros and applications is shared only with the businesses they apply to. Those businesses also see the details picked out of what you said (like your areas, availability and licences) and a simple list of which of the job's needs you mentioned. We never score or rank people, and never guess anything from your voice (like age, gender or accent). The text of businesses' job posts is shared with job seekers. Nothing is public. Your email is only shared with a business when you book an interview with them (and theirs with you).

Who helps us run Yellajob

We use trusted service providers, and share only what they need to do their job:

  • Supabase, for our database, logins and file storage (servers in Sydney).
  • ABN Lookup (the Australian Business Register), to check a business's ABN is active. Only the ABN is sent.
  • Resend, to send our emails (login links and, later, updates like “you've been shortlisted”). Your email address and the email we send you are processed in Japan (Tokyo).
  • Google (Gmail), for our contact inbox. If you email us, your message is stored by Google, which may be outside Australia.
  • Groq, to turn your voice recordings into text. Your recording is sent to Groq for this, and is processed in the United States. Groq doesn't keep it once it's processed (zero data retention) and doesn't use it to train AI.
  • Groq, also to pick out details from what you said (like your suburb or the pay) using an AI model. The text of your recording is sent to Groq for this, and is processed in the United States. It only picks out what you said, and never records things like your age, gender, background or health. For job seekers, it also checks your intro for hateful, threatening or explicit words or strong swearing before businesses can see it. For businesses, the same AI also checks job ads for unfair wording and signs of a scam before they go live.

Where a provider processes information overseas, we say so above. We only use providers that agree to keep your information secure and use it only to provide their service to us.

How we protect it

Everything is sent over encrypted connections (HTTPS). Recordings are kept in private storage and only played through short-lived secure links. Each person can only see their own data, plus what's shared with them through an application.

How long we keep it, and how it's deleted

We keep only what's needed, for as short a time as we can. Deletion is automatic unless it says otherwise.

  • Audio of any recording: deleted as soon as it's written down. Never kept more than a day (a daily clean-up checks).
  • Short voice answers, voice searches, spoken feedback and interview addresses: audio and the recording itself deleted straight away once used.
  • Recordings you started but never confirmed: deleted within a day.
  • Your intro (as text) and details: until you record a new intro (the old one is deleted), tap “Delete my intro” on My Intro, or delete your account.
  • Job posts (as text): until the business deletes the job or its account. Closed jobs stay in the business's list as a record until the business deletes them (their applications and interviews go too).
  • Applications (what you said, as text), interview details and job outcomes: deleted 12 months after the job closes, or straight away if you withdraw your application.
  • Contact details shared at an interview booking: shown only to the other side of that interview, and deleted with the application.
  • Feedback: until you delete your account.
  • Accounts unused for 2 years: after 23 months without logging in we email you a warning. If you don't log in within 30 days, the account and everything in it is deleted.
  • Waitlist emails: until we launch, or until you ask us to remove you.
  • Delete your account: everything above is deleted straight away (Me or Business tab). Copies in our backups are removed within 30 days.

Deleting, seeing or fixing your information

You can delete your account any time from the Me (or Business) tab. This deletes your profile, recordings, transcripts, applications and interviews. Copies in backups are cleared within 30 days. You can also delete single things: your intro (My Intro), an application (withdraw it on the job page) or a job (businesses, on the job page).

Emails we send: login links; updates about your jobs, applications and interviews (like “You've been shortlisted” or “New applicant”), which you can turn off on the Me or Business tab; and, if you joined the waitlist, one “you're on the list” email and one launch email. Every email names Yellajob as the sender and has an unsubscribe link. Update emails only include first names and job titles, never what anyone said.

To see what we hold about you, correct it, or leave the waitlist, email yellajobaustralia@gmail.com.

Data breaches

If a data breach is likely to cause you serious harm, we'll tell you and, where required, the Office of the Australian Information Commissioner (OAIC), under the Notifiable Data Breaches scheme.

Questions or complaints

Contact us at yellajobaustralia@gmail.com and we'll respond within 30 days. If you're not happy with our response, you can contact the OAIC.
